Primary Purpose:

Provide support for daily human resource operations.  Maintain and operate the substitute system and process related documentation for the district.  Serve as the point-of-contact at the district for substitutes. Handle routine HR inquires and provide responsive and knowledgeable assistance to employees.  Job Title and rate of pay will be based upon applicant's qualifications.

Qualifications:

Education/Certification:

High school diploma or GED

 

Special Knowledge/Skills:

Ability to effectively present information in one-on-one and to small and large groups of employees

Excellent organizational skills

Ability to prioritize workflow to address the multiple needs of the supervisor or the department

Proficient skills in keyboarding, data entry, word processing, and file maintenance

Ability to use software to develop spreadsheets, databases and do word processing

Effective communication and interpersonal skills

Mastery of the English language usage - both oral and written

 

Experience:

2 years secretarial/clerical/administrative experience

Major Responsibilities and Duties:

HR Support

  1. Handle routine HR inquiries to ensure a high level of service and responsive, knowledgeable support for employees and their supervisors.  Explain HR policies and practices to employees as appropriate.
  2. Maintain HR information database to ensure that employee information is accurate, current and reliable.
  3. Operate the automated substitute system, including data entry and generation of reports.
  4. Provide training and support to all users of substitute system to ensure correct usage.
  5. Receive and process requests for substitutes and schedule substitutes as needed to ensure coverage of staff absences.
  6. Prepare correspondence, forms, manuals, schedules, and reports to district standards and requirements.
  7. Prepare recruitment and new-hire packets.
  8. Process new hire paperwork including fingerprinting, criminal history information, references, and other application materials for all district employees, volunteers and contracted personnel.
  9. Assist with maintenance of information in employee database.

Accounting

  1. Perform routine bookkeeping for the department and assist with the preparation of the human resource department budget.
  2. Process department PO's, check requests, and maintain supplies.

Other

  1. Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
  2. Maintain confidentiality.
  3. Greet visitors and assist employees and applicants with completing applications and required paperwork.
  4. Maintain a schedule of appointments and assist with scheduling interviews and meetings.
  5. Make meeting arrangement for department activities including preparing materials, scheduling and setting up facilities, and arranging equipment.
  6. Follow district safety protocols and emergency procedures.
